Booking & Payment Policy
Booking and Payment Conditions:
All bookings and payments are accepted on a first-come, first-served basis and although we cannot guarantee your choice of day and time, we will do our best to get you your first preference.
In order to secure your place a one time non refundable $20 enrolment fee payment is required with 48 hours of your booking for all new clients . If payment and enrolment form is not received we will cancel your booking and offer it to the next enquiry. It is therefore in your interest to submit full payment along with the booking form before the deadline expires.
Any correspondence or other contact will be directed to you and if any of your personal details differ at any stage during your enrolment please notify us immediately.
Fees are paid in full prior to your first lesson and are charged per term .
No Pay No Swim policy is firmly upheld.
A late fee of $20 per student will be added to your account if payment is not received by the date of your invoice.
How do I rebook my spot?
Each term an email will be sent to you in order to re enrol for the next term, change your current booking or cancel your booking. You will have 14 days to contact us with your decision.
If a response is not received by the directed date your booking will be cancelled and offered to a waitlisted family.
Lesson Cancellation or Teacher changes.
Occasionally, due to unforeseen circumstances, it may become necessary to cancel a lesson. If this should happen, KSS AQUATICS will add a lesson to your account and you will have the ability to book a make up lesson through our Parent Portal or in some circumstances the lesson will be credited to your account to be deducted from the next swim term booked .
We will do our best to inform all participants via thr KSS AQUATICS TEAM APP about this occurrence as soon as possible.
Occasionally, in the event of illness or other unforeseen circumstances we might have no choice but to change the instructor, we will attempt to notify all families as soon as possible so you have an opportunity to discuss this with your children . In the event a substitute instructor cannot be found we will offer a makeup lesson to your account .
What if I need to cancel a lesson?
We understand kids get sick.
As per KSS AQUATICS Terms and Conditions, we offer 2 catch-up lessons per term, subject to availability.
If you are not able to attend your lesson it is the responsibility of the parent or guardian to inform us of any planned absence and you can notify us through the Parent Portal anytime up to 2 hours prior to your lesson, a drop down box will appear with options for your absense.
If your cancellation is within 2 hours of your lesson start time please advice us with a phone call or text message only as we will not be able to check emails once lessons begin.
Make-up lessons will only be given for medical absence and with a doctors certificate which must be provided to KSS AQUATICS . If your child is unwell please do not book your make up lesson in the portal until they are well enough to return to lessons.
We do our best to arrange make-ups at your usual venue with your regular teacher but there is no guarantee this will occur.
Once a make-up is booked it cannot be changed. Missed make-up lessons will be forfeited. Make up lessons must be used within the current term and are not rolled over to the following term.
We take the health and safety of our students and staff very seriously.
With our stricter health conditions at present we ask that you not attend swimming lessons if you or your child are suffering from any cold, flu or covid symptoms even if you are just watching .
You must inform KSS AQUATICS if there is any medical condition of the participant (either parent/guardian child) that may be relevant.
In the event that you arrive for lessons and we feel you or your child is not able participate due to illness, allergy, behaviour or other appropriate reason then we reserve the right to prevent the participant attending a lesson and your lesson will be cancelled without refund .
At KSS AQUATICS water quality is very important for the health of staff and students.
You must exclude your child and yourself from lessons for the reasons:
Molluscum contagiosum Virus : excluded until skin is clear
Vomiting – 48 hours clear of any issues
Diarrhoea – 14 days clear for those in the water , 48 hours if viewing lessons only
Sores, bites, open wounds – exclude until dried or can be covered adequately with a waterproof bandage. Normal bandaids are not suitable for the pool. Please remove all band-aids & recover with appropriate covering prior to lessons.
Snot: Green or coloured excluded , clear is ok to swim.
These conditions are based on Queensland Health guidelines and safe pool operating guidelines to reduce the chance of contamination and spread of infection.
